Shopify POS Migration
Migrated operations from QuickBooks & Loyverse to Shopify POS, automating invoicing and simplifying complex sales workflows.
ROLE
Sole UX/UI Designer
TIMELINE
2.5 months
COLLABORATE WITH
Sales Team, Warehouse Team
PLATFORM
Shopify POS
Problem
QuickBooks + Loyverse Limitations
Because QuickBooks and Loyverse operate as separate systems, orders placed in Loyverse had to be manually recreated as invoices in QuickBooks. This resulted in time-consuming workflows, frequent typos, and a higher risk of fulfillment errors across teams.
This created specific pain points for each team:
Solution & My Role
I led the migration to Shopify POS and designed a structured, automated system that improved usability, readability, and workflow efficiency in the following ways:

Auto-Invoice Templates
Created auto-generated invoice formats for customer, packing, and special orders

POS UI Design
Set up and designed the POS interface and product listings, using images and logical grouping to improve learnability and speed of order entry.
Guidelines
Created team guidelines for new workflows
Process
Worked in short, iterative cycles with sales and warehouse teams during the migration.
This loop continued until the system was fast, accurate, and easy to adopt.
1
Discover Issues
Identified workflow friction through team feedback and live usage
2
Configure & Design
Designed or configured Shopify POS features and automation
3
Live Testing
Conducted real-world testing with sales and warehouse teams
4
Iteration
Refined solutions based on feedback until workflows were finalized
Impact & Results
~50%
increase in warehouse team efficiency
Invoice & packing preparation: from avg.5 min per order to ~2-3 min for large orders (over 100 items)
~50%
faster order processing for sales team
Order placement: from avg.5 min per order to ~2-3 min for large orders (over 100 items)
~65%
improved learnability for new sales staff
Product understanding & order placement: 14 days to ~5 days
50%
reduction in invoice errors
Typos & Mismatches dropped from 2 out of 10 to 0–1 out of 10
Reflection
This project reinforced that impactful product design extends beyond interfaces into systems and operational workflows. By focusing on automation and cross-team collaboration, I transformed a platform migration into measurable business efficiency. It strengthened my ability to design for enterprise constraints while delivering real business value.
